Project Objectives/Components

• To automate deeds records and improve search time and provide robust archiving.
• To provide mission critical system to redundantly support high volume daily document scanning and indexing.
• To implement document scanning, document indexing and a browser based search environment for County Intranet with more than 1000 users.

Project/Product Description

• Specify for purchase and installation all computer hardware, other equipment, and network components.
• Computers: 3 servers, 9 staff computers, 8 public access computers, and 1 computer for Commissioner of Revenue.
• Other equipment: 6 printers, 1 plat scanner, 2 document scanners, network hubs, switches and cabling
• Peak system workload: index and scan 900 deeds (or more than 7500 deed pages) per day
• Project planning, implementation and management services
• Customize, test, and install VA Land Records™ Deeds recording software
• Establish backup procedures, security protocols, and system recovery plan to ensure the safety and integrity of the system
• Provide on-site training, documentation, and on-demand technical support for users
• Integration planning and design for system communication with other county information systems.
• Provide on-site support for County staff
• Ongoing system, technical and user support
• Design, implement and host County land record Web site
• Obtain existing deed index data and microfilmed documents for backfile conversion consisting of 3,500,000 deed pages
